Nature of Work

Provide administrative support services.  Answer all incoming calls and greet internal/external clients in a positive and professional manner.


Essential Duties and Responsibilities

  • Perform administrative activities such as answering phones, distributing mail, ordering supplies, maintaining office equipment, making travel arrangements, filing, typing, greeting and assisting visitors, and working with internal and external clients.
  • Operate telephone system.  Place outgoing calls, answer incoming calls, forward calls to party, take messages, when necessary, notify employees that visitors have arrived.
  • Payroll time and invoice entry into database system.
  • Handle invoice payment inquiries. 
  • Create and update files of various kinds; for example, documents, spreadsheets, and databases.
  • Maintain information regarding which employees are in or out of the office, as well as where they can be reached when out of the office.
  • Process incoming and outgoing mail, as required.
  • Send and receive deliveries. Maintain files on all delivery invoices.
  • Compose and/or edit letters, memos, reports, procedures, etc., as required.
  • Exercise initiative or, as directed, perform additional duties to meet the needs of the organization.

High school diploma or General Education Degree (GED).



Six months to one year or more of related work experience required.
