PURPOSE OF POSITION:

The HR Systems Business Analyst (BA) Manager’s role is to ensure Aureon HR’s business users’ needs are documented, prioritized according to Aureon’s business and systems strategy goals, and given to Aureon’s technology teams for implementation.  Will ensure functionality meets user requirements upon the technical team’s delivery of the functionality and will create and deliver training materials to business users on HR systems functionality and best practices. In addition to managing the team of HRis Analysts, will also perform a certain amount of Business Analyst tasks in line with that of a Senior Business Analyst.  The HRis Analyst Manager will also apply proven communication and problem-solving skills to guide and assist business users on issues related to the design, development, and deployment of HR systems software critical to business operations.  Relies on extensive experience and judgment to plan and accomplish goals. Leads and directs the work of others.  A wide degree of creativity and latitude is expected.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Team Management
    • Provide leadership, development, guidance, and training for team of HRis Analysts.
    • Manage staff assignments based on knowledge of staff, product, and project expectations.
    • Regularly review the work of staff to ensure their skills are growing at an appropriate pace.
    • Manage risks through proactive assessment of potential issues, supporting staff as needed through the management of issues.
    • Create, maintain, and improve team processes.
    • Ensure appropriate levels of customer service are met in all interactions.
    • Mentor and coach employees on best practices related to Aureon’s HR systems and other integrated systems.
    • Recommend, support, and manage strategic changes in business; drive and/or lead strategic projects to completion as assigned.
    • Responsible for continual and measurable improvement and innovation of the HR systems’ processes and supporting tools, with the goal of consistent, timely, and accurate results.
    • Act as point of escalation for team/customer concerns.
    • Collaborate with other Aureon Analyst Managers to ensure all Analysts are receiving consistent direction, following a common set of tools and best practices, as well as working towards common goals.

 

  1. HRis Strategy and Planning
    • Ensure Aureon’s HR systems and related interfaces and files meet Aureon’s corporate and business unit objectives and satisfies end-user requirements.
    • Assist in the creation of long-term strategic goals for achieving and maintaining high data quality in conjunction with HR system users, department managers, and other key stakeholders.
    • Assist with managing the backlog of incoming requests, prioritizing items as they come in, creating a product roadmap.  
      • Gather, analyze, define end user requirements for HR systems’ data access and usability in accordance with business objectives, obtaining appropriate user approvals. Ensure team is also performing these duties.
      • Understand and share as appropriate, how various systems interact with Aureon’s HR systems, ensuring dependencies are accounted for in the requirements process.
      • Assess potential requests for alignment to Aureon HR’s systems strategy, setting appropriate expectations with the request’s submitter.
      • Work with business users and the technology team to prioritize user requests appropriately, communicating any changes in prioritization with request submitters. 
    • Assist with the coordination of enhancement and escalated service issue requests with Aureon HR’s Technical Team (currently SSIT) and/or vendors as appropriate.           
    • Develop, implement, and maintain policies, processes, and associated plans for the appropriate use of the HR systems.
    • Communicate future enhancement list and escalated service issue list to business including Job Aid creation oversight.
    • Stay current on trends specific to HR systems to better meet the needs of our internal customers.

 

  1. HR Systems Deployment
    • Analyze documentation and technical specifications of any HR systems functionality that is to be released to the business unit to determine its intended functionality. Create and deliver training to end users.
    • After the vendor and/or technical team has completed their testing of new releases (e.g. functional, non-functional, regression, etc.), perform cursory user acceptance testing of new system functionality before it is turned over to end users for their full UAT. Ensure major issues are adequately resolved prior to releasing to end users for UAT by collaborating with the technical team and/or vendor on solutions.
    • Assist in negotiating with the HR systems’ technical teams and/or vendors for prompt rectification of any problems or emergencies. Keep end users apprised of the status of issues and pending releases.
    • Conduct research on new and emerging HR system technologies or technologies that can be leveraged through existing HR system investments.

 

  1. HR Systems Operational Management
    • Manage day-to-day operations and support to minimize downtime and maximize uptime.
    • Ensure team develops job aids on overall system for training of business staff, performing trainings as necessary.
    • Ensure the average business user can easily find appropriate job aids for their needs.
    • Champion continual process improvement.
    • Ensure team is adhering to Service Level Agreements (SLAs) and reporting on status
    • Prepare annual budget and monthly forecast of expenses
    • Identification and management of any risk or issues, escalating as appropriate

 

  1. Customer Service
    • Build strong and productive working relationships with SSIT and Aureon HR staff.
    • Assist in serving as liaison between Aureon HR and Aureon Shared Services and Technology for HR systems-related matters.

 

  1. Other responsibilities as requested by the other HRis Analyst Manager and/or Vice President, Client Implementation and Analysis.

 

 

EDUCATION, TRAINING, AND EXPERIENCE:

Required

  • Bachelor’s Degree from a four-year college or university in business, IT, or related field;
  • 6-8 years of related experience; or
  • Equivalent combination of education and experience
  • Familiar with a wide variety of HR, benefits, and payroll systems concepts, practices, and procedures.
  • Demonstrated experience in data analysis.
  • Demonstrated experience in proposal development and/or technical writing
  • Demonstrated experience planning and executing large-scale projects

  • Proven product development, product ownership, product management or other relevant experience

TOOLS, EQUIPMENT, AND SOFTWARE:

  • Must be able to proficiently operate Windows PC with MS Office and MS Outlook
  • Prefer applicant is familiar with the HRis system or similar system

 

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:

  • Primarily indoor work in an office environment requiring long periods of sitting
  • Frequent utilization of manual dexterity and visualizing of a computer screen
  • Occasional weekend and evening work
  • Occasional travel by vehicle or air
